How do I receive stock into inventory?

New inventory is recorded using Adagio Inventory's Enter/Edit Receipts function, which you select from the Transactions menu.

When new stock comes in, you call up the Receipt entry function and click New.

The receipt entry window has four tabs. The first, displayed above, is used to enter "header" information about the receipt. This includes basic information for the incoming inventory, such as the receipt number, a general description for the entire receipt, vendor information, and so forth.

When you've entered your basic receipt information, you can go on to the Details tab, which is the most important tab here, as it's where you enter specific items that are being added to your inventory, and specify to which locations the new stock is being added. To add a new detail for the receipt - that is, a specific incoming item - go to the Details tab and click the New button. A New Detail window will appear.

Here, you can see that you would enter the information for the incoming stock item, starting with the item number, and including the cost of the item from the vendor, perhaps the item number the vendor uses, and of course your store or warehouse location to which the incoming items will be added.

You can use the small magnifying glass Finder button beside the Location field to select a different location to add the inventory to. When you do this, the location list at the bottom of this screen changes, allowing you to easily see the quantity available or on backorder at the newly-selected location. This is a handy quick reference, so that you can properly distribute incoming inventory where it's needed most.

Once you've added all of the items that are included with this new receipt, you can move on to the Totals tab, where you can review subtotal information for the receipt and add in discounts or additional costs as needed.

Finally, the Addresses tab completes the receipt window. This tab is used to display contact and address information, pulling that information right from the vendor's file, yet giving you the flexibility to overwrite that information for specific receipts if you need to.

You can finalize the incoming inventory when you're finished with all four tabs, by clicking the Post button.
